Refunds and cancellation

Engagement deposits

Most engagements require a deposit stated in the engagement letter—typically thirty percent of the fixed fee—to reserve fieldwork dates and begin document intake. The deposit is credited toward the final invoice.

Full refund eligibility

You may receive a full refund of amounts paid if Analytic NW cancels the engagement for reasons within our control before substantive testing begins, or if we mutually agree in writing that the engagement cannot proceed because required award documents never become available and no fieldwork hours have been incurred.

Partial refunds

If you cancel after intake and document review have started but before the draft finding memo is issued, we refund the unused portion of the fee after deducting time already spent at the rates implied by the engagement letter, plus non-recoverable travel booked with your approval. Minimum deduction is the deposit when cancellation occurs within ten business days of the scheduled testing start.

Non-refundable items

The following are not refundable once incurred: approved third-party travel and lodging, courier costs for physical files, certified translation ordered at your request, and completed deliverables already issued (draft or final reports, monitoring memos, readiness checklists).

Work already started

Once sampling or interviews begin, fees for completed phases are earned. We will provide a phase summary with any cancellation invoice so you can see what was delivered.

Rescheduling

You may reschedule fieldwork once without charge if you give at least seven business days’ notice and alternative dates within sixty days are available. Later notice or repeated rescheduling may incur a rescheduling fee of up to fifteen percent of the engagement fee to cover replanning.

No-shows

If key client contacts fail to attend an agreed on-site day without twenty-four hours’ notice, that day may be billed as incurred and a new date scheduled subject to availability.

Refund process and timing

Email hello@analyticnw.digital with your engagement reference and reason. We confirm eligibility within five business days. Approved refunds are returned by the original payment method within fourteen business days of approval. Bank processing times may add several days.

Timeframe to request

Refund requests related to cancellation should be made within thirty days of the cancellation notice. Billing disputes on completed engagements should be raised within thirty days of the final invoice.

Exceptions

Engagement letters may state project-specific deposit or cancellation terms for multi-award portfolios or multi-island travel. Where the letter and this page differ, the signed letter controls.
